Privacy Policy for Bergen Bible School
Bergen Bible School takes your privacy seriously. This policy explains what information we collect about applicants and students, why we do it, and how we secure your data.
The processing of personal data is carried out in accordance with the Personal Data Act and the EU General Data Protection Regulation (GDPR).
1. Data Controller
The Principal (Rektor) has the ultimate responsibility for the school's processing of personal data, but daily follow-up responsibility is delegated to the Administration Manager.

2. What information do we collect and why?
We collect and use your personal data for various purposes depending on whether you are an applicant, student, or website visitor.
a) When you apply for a place at the school
When you fill out the application form on our website, we process the following information:
- Name, address, email, phone number, and date of birth.
Purpose: To process your application for admission to the school.
Legal basis: Consent (given when submitting the form) and necessary for entering into an agreement regarding a school place.
b) When you are a student at the school
To operate the school and provide you with education, we store:
- Contact info for you and your next of kin.
- Attendance records and grades.
- Information necessary for the administration of tuition fees.
Purpose: Follow-up of you as a student, issuing of diplomas, and school administration.
Legal basis: Necessary to fulfill the agreement with you as a student.
c) Health information regarding trips
Before study trips (practice trips domestically and abroad), we may request health information (e.g., allergies, medications, or conditions requiring facilitation).
Purpose: To ensure the students' life and health during travel and facilitate a safe stay.
Legal basis: Your explicit consent (signed in separate guidelines before departure).
Deletion: Health information is deleted once the trip is completed and no longer necessary.
d) Photos and video
We take photos and videos from school life and trips for use in marketing on websites and social media.
Legal basis: Consent. All students sign a separate consent form at the start of the school year where they can accept or decline the use of photos. You can withdraw this consent at any time.
3. How we store and secure your data
We use the following systems to process information securely:
Google Drive: Used for storing student lists and general administration. Access is password-protected and limited to employees who need the information for their work.
Physical archive: Records of grades, attendance, and diplomas are kept in a locked physical filing cabinet.
Email (Webhuset): Used for communication and sending information.
Website: Applications are sent encrypted via our website.
We have routines to ensure that unauthorized persons do not gain access to your personal data.
4. Sharing of information with others
We never sell your data to third parties. We only share information when necessary for school operations:
Partner Churches: In connection with practice trips, we provide necessary contact info to the churches we visit. This is often done via email in consultation with the student.
Data Processors: We use suppliers for IT services (e.g., Google, Webhuset).
We do not disclose student lists to third parties unless required by law or agreed upon with you.
5. How long do we keep the information?
We store your information as long as necessary for the purpose for which it was collected:
Applications (not started): Deleted 1 year after the application deadline.
Diplomas and transcripts: Stored in the school's archive as long as the school is in operation, to issue duplicates and document education.
Student lists: Names and cohort affiliation are kept in the school's historical archive.
Health information: Deleted after the relevant trip/school year is finished.
6. Cookies
Our website uses cookies to provide you with a better user experience. This includes:
Necessary cookies: For the website to function.
Third-party cookies: We use services like YouTube (video playback) and AI Chatbot. These may set their own cookies if you consent to it.

7. Your rights
You have the right to:
- Request access to the personal data we have stored about you.
- Request correction of incorrect information.
- Request deletion of information (with the exception of information we are required by law to keep, e.g., accounting or diplomas).
